What is Timeroom?

Timeroom is an AI calendar manager. It connects to your Google or Outlook calendar and automatically protects your time by enforcing rules. It blocks deep work, declines low-value meetings, tracks goals, and provides AI-powered insights — all automatically.

What does "Your time, protected" mean?

Most tools help you plan. Timeroom enforces. It blocks deep work time, declines P4 meetings, resolves conflicts, activates emergency mode, and sends you daily briefings and weekly reports. You set the rules — Timeroom does the rest.

What is the Priority Scale (P1-P4)?

P1 — Non-negotiable: Health, sleep, deep work zones. Never touched.
P2 — High-value: Client meetings, strategy sessions. Protected.
P3 — Administrative: Internal syncs, follow-ups. Can be moved if they conflict with deep work.
P4 — Low-impact: Meetings without an agenda, vague invitations. Auto-declined.

What are Calendar Zones?

Zone A — Deep Work: Configurable days/hours. Auto-blocked, no meetings allowed.
Zone B — Meetings: Available for scheduled meetings.
Zone C — Admin: Email, follow-ups, low-priority tasks.
Zone D — Buffer: Gaps for transitions and recovery.

What is Emergency Mode?

Activates when your schedule is unsustainable (10+ hours of meetings/day or 3 days without deep work). Cancels all P3/P4 meetings. Only P1 and critical P2 remain. A circuit breaker for your calendar.

What AI features are included?

What does the Focus Timer do?

A floating Pomodoro-style timer (defaults: 25/50/90 minutes). When you start a focus session, it automatically creates a blocking event on your Google Calendar, logs the session to your history, and notifies you when it ends. Press F to toggle at any time.

What are Weekly Goals?

Set targets for deep work hours, maximum meeting hours, and focus sessions per week. Progress is tracked automatically from your calendar and focus sessions. Get an AI review at the end of each week.

What is the Calendar Health Score?

A 0-100 score that evaluates your calendar quality across 5 metrics: deep work time, meeting load, Zone A compliance, buffer adequacy, and P4 avoidance. Grades from A to F. History shows your trend over time.

What are Time Budgets?

Allocate weekly hours per category (meetings, deep work, admin, 1:1s, personal). Timeroom tracks actual time from your calendar and displays over/under budget warnings.

What is the Calendar Audit?

Scans your next 14 days for: double-booked meetings, meetings without agendas, excessively long meetings (2h+), after-hours meetings, back-to-back marathons, and overloaded days (6h+ of meetings). AI provides fix suggestions.

What are Meeting Templates?

Pre-built meeting structures with agendas, durations, attendees, and categories. 6 defaults included (Quick Sync, 1:1, Standup, Sprint Planning, Client Call, Deep Work Block). Create your own or apply any template directly to your calendar.

How does Smart Scheduling work?

When does Timeroom run?

Automatically every weekday at 10:00 AM Athens time. Daily briefing emails at 08:30. Weekly reports every Friday at 17:00. You can trigger a manual run anytime from the Status page or via CMD+K.

What data do you access?

Calendar events and email metadata (not full body). OAuth tokens are encrypted. Action logs expire after 30 days. We never sell or share your data. See the Privacy Policy.

Can I disconnect at any time?

Yes. Go to Connection and remove any account, or "Disconnect All & Sign Out". This stops all actions and deletes OAuth tokens immediately.

What is the Personal Clarity Layer (PCL)?

An AI-powered decision support tool. It detects high-pressure moments (>6 meetings, >3 back-to-back, >80% day utilization) and guides you through structured reflection — which meetings need strategic thinking, what can be delegated, what is the key outcome for the day. It is not therapy — it is an operational clarity tool. Appears as a green round button at the bottom right. A red badge means an active trigger.

What does "Run now" do?

Manually runs the Calendar Orchestrator. This means: it fetches your events for the next 7 days, categorizes them (P1-P4), creates Zone A deep work blocks, applies auto-decline to P4 meetings without agendas, and executes the rules you have set. Requires Google Calendar — with IMAP there is no calendar data. Displays the result: how many actions were taken or if it was skipped.

What is Work-Life Balance?

Analyzes 14 days of calendar data and calculates a 0-100 score based on: meeting hours, after-hours meetings, and workload distribution. Grade A-F. Includes AI improvement tips. Click "Check" on the dashboard widget or "Balance Analysis" in Analytics.

What is the Productivity Score?

A composite 0-100 score from 5 factors: Focus (focus sessions), Goals (weekly goals), Health (calendar health), Streaks (consistency streaks), Balance (work-life balance). Each factor contributes a different weight. Grade A-F.

What are Streaks & Achievements?

Tracks your consistency: how many consecutive days you completed focus sessions, hit goals, or used your calendar effectively. Streaks motivate daily usage.

What is Meeting Ratings?

Rate your meetings after they end. This helps the system learn which are valuable and which are a waste of time. Ratings feed into the Meeting ROI Analyzer and AI recommendations.

What is the Email Digest?

An automated daily (or weekly) email summary: schedule, tasks, health score, tips, balance, streaks. Configure which sections you want, frequency (daily/weekdays only/weekly), and send time. Click "Preview Digest" to see what it looks like.

What is Focus Analytics?

Analyzes your Focus Session (Pomodoro) data over 7, 30, or 90 days. Shows: total sessions, completed minutes, average duration, and productivity patterns by period.

Analyzes meeting patterns with specific contacts: how often you met, total time spent, last meeting. Filter by 7/30/90 days.

What is the Delegation Assistant?

Upload a .ics file (standard calendar format). Timeroom parses and previews the events, and you can import them into your Google Calendar.

What is the Agenda Builder?

What is the Time Blocking Assistant?

AI creates an optimal daily schedule by combining your existing meetings with pending tasks. Blocks deep work time, buffer, and breaks at the best time slots.

Activate Away Mode for specific dates (vacation, days off). Automatically: declines new invitations, sends auto-reply to interested parties, and optionally routes to a delegate (alternate email).

Search across all your calendar events using keywords, date filters, and attendee filters. Useful when you want to find when you last had a specific meeting.

What is Meeting Effectiveness?

Privacy Policy

1. Introduction

Timeroom ("we", "us") operates the timeroom.ai website and the Timeroom calendar orchestration service. This Privacy Policy explains how we collect, use, store, and protect your personal information when you use our service.

2. Data We Collect

When you connect your calendar account (Google or Outlook), we access: your email address, display name, and calendar events (titles, times, descriptions, attendees). For Outlook accounts, we additionally access email metadata for scheduling-related features. Calendar data is processed in real time for scheduling analysis, conflict detection, and time management features. We do not permanently store your calendar content beyond action logs and user-created configuration.

3. How We Use Your Data

Your data is used exclusively to provide the Timeroom service: reading and classifying calendar events by priority, blocking deep work time, scheduling meetings on your behalf, detecting calendar conflicts, generating productivity analytics and weekly reports, and creating focus sessions with time blocking. We never sell, share, or use your data for advertising.

4. Data Storage

OAuth tokens and action logs are stored in Cloudflare KV (encrypted at rest). Action logs are automatically deleted after 30 days. Weekly reports are deleted after 90 days. We do not maintain a separate database of your calendar content.

5. Third-Party Services

We integrate with Google APIs and Microsoft Graph API for calendar and email access. These integrations are governed by their respective privacy policies. We also use Stripe for payment processing; Stripe handles all payment data directly and we never store your card details.

6. OAuth Permissions

Google: Read/write calendar and user profile (email, name). Outlook: Read/write calendars, read/send mail, and user profile. These permissions are required for Timeroom to read your existing calendar events, create and manage events on your behalf (time blocking, scheduling, templates), and display your account details. You can revoke access at any time from your Google or Microsoft account settings.

7. Your Rights

Under the GDPR and applicable data protection laws, you have the right to: access your data, request correction of inaccurate data, request data deletion, object to processing, and data portability. To exercise any of these rights, disconnect your account or contact us.

8. Data Deletion

You can disconnect your account at any time from the Connect page. This immediately deletes your OAuth tokens and stops all automated actions. Action logs expire automatically after 30 days. For complete data removal, contact us at [email protected].

9. Security

Data transmission uses HTTPS/TLS encryption. OAuth tokens are stored in Cloudflare's globally distributed KV store with encryption at rest. We follow the principle of least privilege: we only request the minimum permissions needed to operate the service.

10. Changes to This Policy

We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated revision date. Continued use of the service after changes constitutes acceptance of the updated policy.

1. Acceptance of Terms

By accessing or using the Timeroom service at timeroom.ai, you agree to be bound by these Terms of Use. If you do not agree with these terms, please do not use the service.

2. Service Description

Timeroom is an AI-powered calendar orchestration service. It connects to your calendar accounts (Google Calendar, Outlook) to classify events, manage scheduling, block focus time, and automate calendar actions based on rules you configure.

3. Account and Access

To use Timeroom, you must connect at least one calendar account via OAuth. You are responsible for maintaining the security of your connected accounts. You must be at least 18 years old to use this service.

4. Acceptable Use

You may use Timeroom for personal and professional calendar management. You may not: use the service for any illegal purpose, attempt unauthorized access to our systems, interfere with or disrupt the service, or resell access without our permission.

5. Calendar Actions

Timeroom may create, modify, move, or decline calendar events on your behalf according to the rules you configure. You acknowledge that automated actions may affect your calendar and connected accounts. You can pause or disable automation at any time from the Connect page.

6. Subscription and Payments

Timeroom offers a 14-day free trial. Paid plans are billed monthly via Stripe. You may cancel your subscription at any time. No refunds are provided for partial billing periods. We reserve the right to change prices with 30 days' notice.

7. Data and Privacy

Your use of Timeroom is also governed by our Privacy Policy. By using the service, you consent to the collection and use of data as described in our Privacy Policy.

8. Intellectual Property

The Timeroom service, including its design, code, and branding, belongs to us. Your calendar data remains yours. We do not claim ownership of your personal data or calendar content.

9. Limitation of Liability

Timeroom is provided "as is" without warranties of any kind. We are not liable for missed meetings, scheduling conflicts, or other damages arising from the use of automated calendar actions. Our total liability is limited to the amount you paid for the service in the preceding 12 months.

10. Termination

You may stop using Timeroom at any time by disconnecting your accounts. We may suspend or terminate your access if you violate these terms. Upon termination, your OAuth tokens are deleted immediately and action logs expire within 30 days.

11. Changes to Terms

We may update these terms from time to time. Changes will be posted on this page. Continued use of the service after changes constitutes acceptance of the updated terms.
